Schedule Employee Working Hours

Explanation

This activity is used to perform short term scheduling of employees. The function is primarily used by supervisors who schedule their employees depending on the work load. From a contracted (agreed) amount of working hours, e.g., for the year, the supervisor enters schedule information so that the agreement hours are fulfilled within the agreement period. The scheduling is normally done two to five weeks ahead. 

Scheduling is done either in a day-by-day schedule, or by using a schedule cycle supplemented with deviation days. The two schedule types are managed by two separate functions. The cyclical scheduled employees are managed in a graphical window.   

Prerequisites

Before scheduling the employees, the required day types and schedule cycles must have been defined. 

System Effects

The scheduling activity will provide correct availability information to be derived and used by the Work Order and Preventive Maintenance planner.

Procedure

Cycle schedules

The cycle schedules are pre-defined by the schedule administrator, and the employees are linked to their schedule and shift. As a supervisor, you enter deviation days and re-locate the employees  from one schedule cycle to the other, or from one shift to the other.

  1. Open the Availability Planning window in the day mode to view the day types for each day in the selected date interval.
  2. Enter deviation days by dragging and dropping day types into the Gantt area.
  3. Change to week mode to view the schedule cycle information entered in the Employee Schedules and Rules window.

Day-by-Day schedules

You have to define all the schedules and also connect your employees to the schedules.

  1. For each employee or group of employees with the same working hours, you define a day-by-day schedule.
  2. Link each employee to the appropriate schedule in the Employee Schedules and Rules window.
  3. For each new scheduling period, you enter the day type information directly in the Schedule Details window.
  4. To enter absence, you must also enter a day type with normal hours. The day type can be entered in the day-by-day schedule, or together with the absence information in the Employee Deviation Days/Deviation Days window.
